“Personal data” means any information relating to an identifiable person. During the recruitment process, we may collect the following:

Full name, contact details (email, phone number, address)
LinkedIn profile or other professional profiles (optional)
Method/channel through which you found the job opportunity
CV/resume, cover letter, references and any uploaded supporting documents
(These may include additional personal data such as date of birth or employment history)

This data is collected directly from you when you submit your application via email or through our online application system.

Purpose of Processing Personal Data

We collect and process your personal data to:

Manage and administer your job application
Communicate with you about the recruitment process
Assess suitability for the role applied for
Prepare and, if appropriate, issue employment contracts

We process your data only as necessary for these purposes and in compliance with applicable data protection laws.

Only authorised HR personnel or staff involved in recruitment have access to your personal data.

Storage Periods

Your personal data will be retained:

For the duration of the recruitment process and until a successful candidate is appointed.
For up to 90 days after the process concludes, typically for legal requirements or to address potential claims arising from recruitment decisions.
If you consent to inclusion in our Talent Pool, data may be stored for an additional period of [insert number, e.g., 365] days to consider you for future opportunities.
If you are offered and accept employment with us, your application data will be retained as part of your employment record.

Once these retention periods expire, data will be securely deleted or anonymised. Anonymised data may be kept only for statistical purposes without personal identifiers.

Disclosure of Data to Third Parties

Your data will be transferred and stored using secure methods (e.g., encrypted transmission). Where an applicant tracking system or recruitment software is used, such third parties act as data processors under GDPR Article 28, and appropriate data processing agreements are in place.

This database is operated by Personio GmbH, which offers a human resource and applicant management software solution (https://www.personio.com/legal-notice/). In this context, Personio is our processor under article 28 of the GDPR. In this case, the processing is based on an agreement for the processing of orders between us as the controller and Personio.

Rights of Data Subjects

Under the GDPR, you have the following rights in relation to your personal data:

Right of access – to request a copy of your personal data
Right to rectification – to correct inaccurate or incomplete data
Right to erasure – to request deletion of your data in certain circumstances
